PerfectLaw announces its Imaging Solution - Paperless Workflow™

Miami, March, 2005

Digital copiers, multifunction devices or network scanners offer law offices the potential to image hardcopy documents into the increasingly digital office. However, buying such devices often intimidates and confuses users who underutilize them for copying only or don’t use them at all.  Adding PerfectLaw’s Paperless Workflow™ to your imaging devices not only solves the complexity problem, but also:

  • Enables the paperless office
  • Streamlines workflow instead of duplicating it
  • Makes imaging faster and easier to use
  • Improves security and privacy

PerfectLaw’s Paperless Workflow™ achieves all these goals via:

  • Automatic scan-profile-and-save to PerfectLaw’s Document Management System
  • Automatic notification upon job completion
  • Automatic audit log of all workflow
  • Automatic billing to clients for scanning and copying
  • Automatic scan-and-send hardcopy documents as electronic files via e-mail
  • More efficient operation of your copy center with fewer errors
  • Automatic printing to network devices

PerfectLaw’s Paperless Workflow™ not only extends the power of your copiers and copy center, it actually decreases the complexity of the scanning process. It’s so easy, if you can make a copy, you can go paperless by storing and delivering hardcopy documents digitally to anyone, anywhere.

Going Paperless In 2 Easy Steps
PerfectLaw’s Paperless Workflow™ is client/server – PerfectLaw® Route is the client and PerfectLaw® Scan is the server. Route adds messaging and routing functionality to any network-connected, scan-enabled copier or scanner. In 2 easy steps, users can scan-and-save hardcopy documents to PerfectLaw’s Document Management System and/or scan-and-send them to one or more email recipients.

Step One: Print the cover sheet (see sample on next page) at your workstation desktop.  To do this, simply fill out a digital form using Route and print a cover sheet which includes:

  • Client and matter information
  • Document identification information
  • Recipients (on email list)
  • Document format information
  • Salutations, notations, instructions, memos, etc.

This enables users to define each imaging job at their desk without wasting time walking to and spending extra time at a scanner or copier. Additionally, users have on-line access to PerfectLaw® AIM® contact lists and address books.

Step Two: Scan at the copier or scanner.  Anyone can scan the hardcopy document with the cover sheet and voilà, Scan server software handles the entire job including data conversion, save-and-profile to PerfectLaw’s Document Management System, emailing to the recipient(s) and delivery notification. You can even use the cover sheet over again for different versions of the same document.

Don't Change What You Do - Improve It
Most firms receive thousands of hard copy pages each year. And every day, they are manually copied for review, printed for distribution, or lost, making even more paper, work and errors. It’s inconvenient, counterproductive and costly.

PerfectLaw’s Paperless Workflow™ provides a simple way to integrate hardcopy documents into your electronic workflow while providing security and privacy. Simply define workflow options in the cover sheet, and they are executed automatically by Scan once the document is scanned. Scan with PerfectLaw’s Document Management System, then organizes your documents digitally and allows for storage, security, delivery confirmation and transaction tracking.
